Partner & Booking Terms

Our partnership and event programs help us fund rescue operations, raise community awareness, and find forever homes for the dogs in our care. Thank you for being a part of that mission. These terms ensure every event is safe, professional, and worth your while.

1. Scope

These Partner & Booking Terms ("Terms") apply to all events and arrangements involving RESCUE DOG .ME in the following categories:

  • Puppy Therapy sessions — structured on-site visits for offices, schools, or organizations.
  • Puppy Yoga events — yoga classes hosted with free-roaming rescue puppies.
  • Community adoption events — public events where dogs are available for meet-and-greet and adoption.
  • Puppy socialization sessions — hosted at partner businesses for training and community engagement.
  • Business partnership programs — ongoing arrangements such as vending machine hosting, grooming voucher distribution, sticker programs, and "Dog of the Month" displays.

These Terms govern the relationship between RESCUE DOG .ME ("Rescue") and the partner, venue, or host organization ("Partner").

2. Booking & Confirmation

Events are considered confirmed only upon receipt of a signed booking form or written confirmation from both parties. Until confirmation is received:

  • Dates are not held and may be offered to other partners.
  • No logistics, marketing, or public announcements should be made by either party.

A deposit may be required for private events. The deposit amount and payment terms will be specified in the booking form. Deposits are applied toward the event fee or refunded per the cancellation policy in Section 4.

3. Dog Handler Requirements

All dogs attending events are accompanied by Rescue-approved handlers at all times. The following standards apply:

  • Dogs may not be handled, picked up, or restrained by event attendees without the direct supervision and permission of the assigned handler.
  • Handlers are trained volunteers bound by the Volunteer & Driver Agreement.
  • Handler-to-dog ratios are determined by the Rescue based on the dogs' ages, sizes, and temperaments.
  • Partners may not request specific dogs for events. Dog selection is made by the Rescue based on suitability, availability, and health.
  • Handlers have final authority over any decisions regarding a dog's welfare during the event, including the decision to remove a dog from the event at any time.

4. Cancellation Policy — Partner

If the Partner needs to cancel or reschedule a confirmed event:

  • 14 or more days before the event: Full refund of any deposit; no cancellation fee.
  • 7–13 days before the event: 50% of the deposit is refunded; 50% is retained by the Rescue to cover preparation costs.
  • Less than 7 days before the event: No refund of the deposit.
  • Rescheduling: One free rescheduling is offered if requested at least 7 days in advance. Subsequent reschedules may incur a rescheduling fee.

If an event must be cancelled due to a weather emergency or public safety concern, the Rescue will work with the Partner to reschedule at no additional cost, regardless of the cancellation timeline.

5. Cancellation Policy — Rescue

RESCUE DOG .ME reserves the right to cancel or postpone any event for the following reasons:

  • A dog scheduled for the event becomes ill or injured.
  • Adverse weather creates safety hazards for dogs or volunteers in transit.
  • The venue is found to be unsuitable for safe dog handling upon arrival.
  • A public health or safety situation requiring cancellation.

In the event of a Rescue-initiated cancellation, the Partner will receive a full refund of any deposit paid, and the Rescue will make every effort to reschedule at the Partner's convenience.

6. Venue Requirements

To host a RESCUE DOG .ME event, the Partner's venue must meet the following minimum requirements:

  • Indoor or covered outdoor space appropriate for the season and weather conditions.
  • Accessible water for dogs — bowls and water will be brought by the Rescue, but a water source must be available.
  • Traffic safety — the area must be secured from vehicle traffic and open roadways.
  • Adequate space — minimum square footage per dog as specified by the Rescue at the time of booking. Overcrowded spaces are not safe for dogs or attendees.
  • Pet-friendly policy — the venue's own policies must permit dogs; the Partner is responsible for confirming this with their property manager or owner prior to booking.
  • Accessible exits — clear pathways for emergency evacuation of dogs and attendees.

The Rescue reserves the right to inspect the venue before the event and may cancel if requirements are not met. A venue walkthrough may be scheduled in advance for new Partners.

7. Liability at Events

RESCUE DOG .ME carries event liability insurance for dogs under our direct care and supervision during events.

  • The Partner agrees to indemnify and hold harmless RESCUE DOG .ME from any claims, damages, or liability arising from the Partner's own negligence, failure to maintain a safe venue, or violation of these Terms.
  • Attendees interact with dogs at their own risk. The Rescue recommends that Partners post clear signage at events noting the presence of live animals.
  • The Rescue is not responsible for damage to the venue caused by dogs if the damage results from the Partner's failure to meet venue requirements or the Partner's instructions to handlers.

8. Dog Welfare

The welfare of every dog in our program is the Rescue's first priority at all events. The following standards are non-negotiable:

  • Event sessions are time-limited. Dogs participate for no more than 60–90 minutes per session, with rest periods as needed.
  • Dogs showing stress signals (excessive panting, avoidance, trembling, pinned ears, tucked tail, growling) will be removed from the event immediately. This is not negotiable, even if it shortens the event.
  • No event will continue if the handler determines that continuing poses a risk to any dog's welfare.
  • Dogs will not be forced to interact with any person. Interaction must always be dog-initiated or handler-guided.

9. Photography & Media

  • The Rescue may photograph and video events for use on its website, social media, and promotional materials.
  • Partners may also photograph and video events for their own use.
  • Neither party may use images or footage featuring the other party's branding, staff, or volunteers in paid advertising without the other party's prior written consent.
  • Images of event attendees (people) should be handled in compliance with applicable privacy laws. The Rescue will not share identifiable images of event attendees without consent.

10. Business Partnership Terms

For Partners participating in ongoing business programs (vending machines, sticker distribution, "Dog of the Month," grooming vouchers, etc.):

  • Partners agree to display Rescue materials, signage, and branding accurately and as provided. No modifications to Rescue-branded materials without written consent.
  • The Rescue name, logo, or any implication of endorsement may not be used in the Partner's own advertising or promotions without prior written consent from the Rescue.
  • Either party may end an ongoing partnership arrangement with 30 days' written notice. The Rescue will collect any equipment (vending machines, display materials) within 14 days of the notice period ending.
  • Partners are not authorized to collect donations on behalf of the Rescue without a signed donation agreement.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Wyoming. Any dispute arising under these Terms shall be resolved in Fremont County, Wyoming, unless both parties agree in writing to an alternative venue.
